What Really Happens in a VIP Day? Behind the Scenes of a Complete Business Transformation
A 7.5-hour intensive that restructured an entire business—from client experience to marketing strategy
When you're running a successful coaching business, there comes a point where you realize: you need more than just another coaching call. You need a complete strategic overhaul. You need someone to sit down with you, look at every moving part of your business, and help you rebuild it from the ground up.
That's exactly what a VIP Day is designed to do.
I had the privilege of hosting a past client for a full-day intensive in the charming town of Elora, Ontario. We met at CW Cowork at 9:00 AM sharp, armed with laptops, notebooks, and a shared commitment to making significant progress. By the time we wrapped at 4:30 PM—with a delightful lunch break at Wild & Free Cafe—we had completely upgraded her business model, pricing strategy, marketing plan, and client operations.
If you've ever wondered what actually happens during a VIP Day, whether it's worth the investment, or if you could accomplish the same things on your own, let me take you behind the scenes of this transformative experience.
Who Is a VIP Day For?
Before we dive into what we accomplished, let's talk about who benefits most from this type of intensive work.
A VIP Day is perfect for you if:
You're already successful, but something feels off. You're making money, you have clients, but the business feels chaotic, exhausting, or unsustainable.
You have clarity on your vision but lack the operational infrastructure. You know where you want to go, but your systems, processes, and pricing aren't aligned to get you there.
You're stuck in "messy middle" mode. You've outgrown your starter systems, but you haven't yet built the professional-level operations you need.
You're the bottleneck. You're doing everything yourself, and there's no time to work ON the business because you're too busy working IN it.
You need accountability and expertise in one room. You could figure this out eventually on your own, but you'd rather make six months of progress in a single day.
My client fit all of these criteria. Her business had grown organically over time, and the cracks were starting to show. She needed a strategic partner to help her rebuild the foundation—and fast.
The Pre-Work: Setting Ourselves Up for Success
A VIP Day doesn't start the day you walk through the door. The real magic happens in the preparation.
A week before our session, I sent a detailed agenda outlining exactly what we'd cover:
Business update and wins review
Weekly structure and time management
Upcoming program launches
2026 retreat planning
Online program optimization
Client experience and operations
Ongoing marketing initiatives
The goal wasn't to surprise her with what we'd work on—it was to give her time to mentally prepare so we could hit the ground running.
9:00 AM - 12:30 PM: Auditing the Current State
We started the morning with what I call a "strategic audit." This isn't about dwelling on what's broken—it's about getting crystal clear on what's working, what's not, and where the biggest opportunities lie.
Wins Review: Celebrating the Vital Few
First, I asked her to identify the 3-5 actions, strategies, or decisions from the past two months that had the greatest positive impact on her business. We broke this down into categories:
For Fun: What brought joy or fulfillment?
For Profit: What directly contributed to revenue?
For Client Upsell and Retention: What strengthened client relationships?
For Development: What helped her grow as a business owner?
For Adding Value: What did clients rave about?
For Visibility: Which marketing efforts produced the most traction?
This exercise revealed something critical: her most successful client outcomes came from the deeply personalized work she did in her group coaching program. Yet her pricing didn't reflect the intensive, high-touch nature of that work. This insight became a cornerstone of our pricing restructure later in the day.
The Client Experience Crisis
Next, we tackled client operations—and here's where things got real.
Her current client accountability system was inconsistent at best. Some clients texted check-ins. Others emailed. Some didn't check in at all. There was no standardized process, which meant:
Clients weren't getting consistent support
She couldn't track progress effectively
She spent mental energy managing different systems for different people
The Solution: A Weekly Client Check-In System
We designed a comprehensive weekly check-in form that would be completed WITH the client during their call—not as homework, but as a collaborative process. This eliminated the "friction" of clients forgetting to submit it and turned it into a structured coaching conversation.
This single tool transformed her client experience from reactive to proactive.
Contract Refinement: Setting Boundaries
Another major issue? Clients were pausing their packages indefinitely, creating open-ended commitments that drained her energy and complicated scheduling.
We rewrote her retainer agreement to include:
Clear Expiry Dates:
6-month packages: 7 months total (1-month buffer)
12-month packages: 14 months total (2-month buffer)
Formal Pause Policies:
6-month packages: Maximum 1-month pause
12-month packages: Maximum 2-month pause
No Carryover Clause: Unused sessions don't roll over indefinitely
This wasn't about being rigid—it was about creating a healthy, structured container that honored both her time and her clients' commitment.
12:30 PM - 1:15 PM: Lunch at Wild & Free Cafe
We took a well-deserved break and walked to Wild & Free Cafe in downtown Elora. Over a lunch of avocado toast & winter salad, followed by cookies and coffee, we decompressed and let our brains rest. Some of the best insights happen when you step away from the laptop.
1:15 PM - 4:30 PM: Building the Growth Strategy
Refreshed and refueled, we dove into the strategic work that would set her up for exponential growth in 2026.
Pricing Restructure: Charging What You're Worth
This was a big one. We completely overhauled her pricing to better reflect the value she delivers.
Group Coaching:
Old Price: $1,997
New Price: $2,997
Why: The program includes a full Nutrition Assessment for every member—a deeply personalized, high-touch process. The old pricing undervalued this work and created an "energy leak."
One-on-One Coaching:
Session Duration: Shortened from 60 to 45 minutes
Why: Back-to-back 60-minute sessions left zero time for breaks or transitions, leading to burnout. The 45-minute format creates essential breathing room while maintaining effectiveness.
Marketing Strategy: From Scattered to Strategic
Her marketing had been sporadic—posting on Instagram when she remembered, writing blogs occasionally, hoping something would stick. Her follower count had been stagnant for two years, and DMs weren't converting to sales calls.
We built a complete marketing overhaul based on two core strategies:
1. SEO and Authority Building
We shifted focus from social media growth to sustainable, long-term visibility:
Google Business Profile: Created a profile to improve local search visibility and collect reviews
Blogging: Committed to two blogs per month
Content Repurposing: Hired videographers to capture B-roll at upcoming speaking events
2. The Content Cluster Strategy
Instead of random content, we created a structured monthly theme system for 2026:
March: Protein
April: Body Reset for Summer
Etc.
Every piece of content—newsletter, social posts, blogs—would center around that month's theme and drive traffic to her free webinar, which would now include a direct sales pitch for the Nutrition Assessment.
The Ascension Ladder: A Clear Path to Purchase
We mapped out a simple, strategic funnel:
Top of Funnel: Free webinars
Mid-Funnel: Paid Assessment ($497)
Core Offer: Group coaching ($2,997)
High-Ticket: One-on-one coaching ($5,000/month) and
Upsell for Alumni: Mastery Membership
This created a clear pathway for leads to become paying clients at multiple price points.
Program Optimization
We tackled two underutilized programs:
Program 1: Repositioned from a low-selling digital product to a free lead magnet on Squarespace. This would build her email list while eliminating the unused Skool platform (we saved her $$).
Mastery Membership: Relaunched as an exclusive, high-touch upsell for alumni with updated landing page copy, testimonials, and a video.
Retreat Planning for 2026
We planned her February 2026 retreat, launched a waitlist page, and positioned it as a premium vacation for women.
Operational Efficiency
Finally, we addressed the chaos of her schedule:
Time Blocking: Blocked off Wednesday afternoons (2-5 PM) for strategic work
Payment Consolidation: Moved all client payments to MoonClerk
Content Storage: Centralized all session recordings on Vimeo
The Results: What We Actually Accomplished
By 4:30 PM, we had:
✅ Created a complete weekly client check-in system ✅ Rewrote her client contract with clear boundaries ✅ Restructured all pricing to reflect true value ✅ Built a 12-month marketing calendar with monthly themes ✅ Developed a strategic funnel from free content to high-ticket offers ✅ Repositioned two underperforming programs ✅ Planned a 2026 retreat with a live waitlist page ✅ Set up automated systems for payments, reminders, and content storage ✅ Created a Google Business Profile for SEO ✅ Blocked time for strategic work in her calendar
That's not incremental progress. That's a complete business transformation in seven and a half hours.
Why a VIP Day Works When Regular Coaching Doesn't
Here's the truth: you could accomplish all of this over the course of several months in regular coaching sessions. But here's what you'd lose:
1. Momentum. When you spread strategic work across weeks or months, you lose the thread. Decisions made in February feel disconnected from implementation in May.
2. Focus. A VIP Day eliminates distractions. No emails, no kids, no "quick client calls." Just deep, uninterrupted strategic work.
3. Decision fatigue. When you tackle everything in one day, decisions build on each other. You're not re-explaining context or remembering where you left off.
4. Implementation energy. Walking out of a VIP Day with a complete roadmap creates unstoppable momentum. You know exactly what to do next.
